Terms & Conditions
1. INTERPRETATION
The following definitions apply to these Terms:

Force Majeure Event: events outside our reasonable control

Goods for Hire: the wood-fired sauna unit and associated equipment

2. BASIS OF SALE
2.1 These Terms, along with your Order Confirmation and Quotation, form the entire agreement between us. By booking with us, you accept these Terms.
2.2 Please ensure you have read and understood these Terms before confirming your booking, as you will be bound by them once a contract comes into existence.
2.3 Any descriptions, images or illustrations on our website or in quotations are provided to give an approximate idea of the sauna. They do not form part of the contract.
2.4 We may carry out a site survey before issuing a quotation to ensure safe delivery and suitable positioning.
2.5 Our quotation is valid for 30 calendar days unless withdrawn in writing.
2.6 An Order is your offer to enter into a contract with us, which we may accept or decline at our discretion.
2.7 A contract comes into existence when we issue written acceptance of your Order.
2.8 Anyone placing an Order must be at least 18 years of age.
3. DELIVERY & ACCESS
3.1 We will deliver the sauna to the agreed location on the agreed date, unless prevented by a Force Majeure Event.
3.2 Upon delivery, you are responsible for ensuring the site is level, firm, accessible and safe for the sauna to be positioned. The sauna weighs approximately 800kg.
3.3 You must ensure the access route is clear of overhead obstacles (cables, branches, low structures) and has adequate turning space for the towing vehicle and trailer.
3.4 Failure to provide suitable access or site conditions may result in the delivery being cancelled, with full hire charges still applying.
3.5 Delivery times are approximate and will be confirmed with you in advance.
4. DELIVERY CHARGES
4.1 We offer a 20-mile free delivery radius from our base in Dalston, Cumbria.
4.2 Deliveries beyond 20 miles are charged at £1 per mile (covering both delivery and collection).
4.3 Delivery charges will be confirmed in your quotation and are subject to your location.
5. PROVISION OF GOODS FOR HIRE
5.1 The sauna will be delivered and collected on the dates specified in your Order.
5.2 Each hire includes: full sauna delivery and setup, sauna hats, essential oils, 2 complimentary boxes of logs, an integrated outdoor cold shower (where water supply is available), and a full handover briefing.
5.3 Additional logs are available at £15 per box.
5.4 OPERATOR PRESENCE:

Pop-up Sessions: A member of the Tarn Saunas team is always present on-site to manage the stove and supervise use.

Private Hires: The hirer is responsible for supervision of users. If you wish Tarn Saunas staff to manage and supervise the sauna during your private hire, this must be arranged and paid for separately in advance.
5.5 Private hire documents must be physically signed by the hirer or responsible adult on-site before use begins.
5.6 You must ensure we can access the site for delivery and collection. Failure to do so may result in full hire charges still applying.
6. PRICING & PAYMENT
6.1 Prices are as set out in the Quotation or current price list. Prices may change but confirmed Orders will not be affected.
6.2 For pop-up sessions, full payment is required at the time of booking to secure your session. You will receive a confirmation email once your booking is complete.
6.3 For private hires, a £50 deposit per day is required to secure your booking. The remaining balance of the total hire agreement must be paid no later than one week before the delivery date.
6.4 Important: If the remaining balance of your hire agreement is not received by the agreed payment deadline, the sauna will not be delivered. The £50 deposit paid to secure the date will not be refunded.
6.5 If agreed payment is late, we may charge interest at 4% per year above the Barclays Bank Plc base rate until payment is received.
6.6 We may cancel any Order if payments are not made on time.
6.7 Once confirmed, dates cannot be changed without our written consent. Approved changes incur a £30 administration fee.
6.8 Tarn Saunas staff are available to manage and supervise the sauna during private hires at an additional cost. This must be arranged and paid for separately in advance.
6.9 We do not store credit card details nor share customer details with third parties.
6.10 If you're booking on behalf of a group, you are responsible for ensuring all members are aware of and follow the safety guidelines outlined below.
7. CANCELLATION POLICY
7.1 Cancellations must be made in writing to info@tarnsaunas.com.
7.2 Cancellations made 24 hours or more before your booking will receive a full refund or the option to reschedule.
7.3 Cancellations made less than 24 hours before your booking are non-refundable.
7.4 You are welcome to transfer your booking to a friend or family member on the same terms as your original booking.
7.5 Late Arrivals: Please arrive on time to make the most of your session. We cannot extend sessions for late arrivals.
7.6 In the event of a Force Majeure Event (severe weather, etc.), we will reschedule your booking to an alternative date at no additional cost.
8. SAFETY & HEALTH INSTRUCTIONS
8.1 You are responsible for ensuring all users follow the Health & Safety Guidance provided with your Order Confirmation.
8.2 Upon delivery, you will be provided with comprehensive safety briefing and documentation. A Health & Safety Guidance document will be signed by the responsible adult on-site.
8.3 Sauna use is at your own risk. By booking, you confirm that you are fit and well enough to use the sauna.
8.4 If you have any health conditions (pregnancy, heart issues, respiratory problems, etc.), please seek medical advice before booking.
8.5 You agree to follow all safety instructions provided by Tarn Saunas, including:

Only using the sauna as instructed
-
Never using the sauna under the influence of alcohol or drugs
-
Ensuring the stove is managed safely and never left unattended while lit
-
Adhering to recommended session times (10–15 minutes maximum)
-
Strict prohibition on cooling off in open water without direct supervision
8.6 Children under 16 must be supervised at all times and their use limited to 5–10 minutes per session.
9. DAMAGE & RESPONSIBILITY
9.1 You are responsible for the sauna while on site and must cover the full replacement cost of any loss, theft or damage that occurs during the hire period.
9.2 We are not liable for property damage, particularly if caused by unsuitable surfaces incapable of supporting the sauna's weight.
9.3 Damage charges may include:

Cosmetic damage to the sauna

Damage affecting performance or function
-
Loss or destruction of goods
-
Damage caused by negligence or failure to follow instructions
9.4 We will invoice you for any damage repair or replacement costs following collection.
10. LIMITATION OF LIABILITY
10.1 We are not liable for refunds or compensation if the sauna could not be used due to:

Severe weather conditions
-
User failure to maintain the fire
-
Actions or decisions by external parties (other site users, venue staff, etc.)
10.2 If the sauna is damaged during delivery, we will repair or replace it at no cost to you, or refund the hire fee if not possible.
10.3 These Terms apply to any replacement equipment we supply.
10.4 If you use the sauna for business purposes, we are not liable for indirect loss or loss of profit.
11. EVENTS OUTSIDE OUR CONTROL
11.1 We are not liable for any failure or delay caused by events outside our reasonable control.
11.2 Force Majeure Events include: strikes, civil unrest, war, terrorism, fire, flood, natural disaster, severe weather, transport disruption, or loss of utilities.
11.3 In such events, we will take reasonable steps to reschedule your booking and will not charge additional fees.
12. INSURANCE & LIABILITY
12.1 Tarn Saunas Ltd holds £5 million public liability insurance and comprehensive business insurance covering equipment, delivery, and setup.
12.2 This insurance covers incidents resulting from our negligence or failure to maintain equipment during our care and delivery.
12.3 For private hires where you take responsibility for supervision, responsibility for safe operation and the wellbeing of all participants passes to you once the sauna is handed over. If Tarn Saunas staff supervision has been arranged, they will remain responsible during that period.
12.4 We recommend that you ensure your own insurance policy covers potential risks while the sauna is on your property.
13. TERMINATION
13.1 We may terminate this contract if:

You breach these Terms
-
You fail to pay on time
-
You become bankrupt or insolvent
13.2 Termination does not affect existing rights under the contract.
14. NOTICES
14.1 All notices must be sent to: Tarn Saunas Ltd, Greensyke Cottage, Unthank, Dalston CA5 7BA, or info@tarnsaunas.com
14.2 Notices are deemed received 24 hours after email or three days after posting.
15. DATA PROTECTION
15.1 We will only use your personal information to provide our services or inform you of similar offerings unless you opt out.
15.2 We do not store credit card details or share data with third parties.
16. GENERAL
16.1 If any part of these Terms is found invalid, the remaining provisions remain in force.
16.2 These Terms are governed by English law, and both parties agree to the jurisdiction of the English courts.
16.3 We do not accept bookings from outside the UK.
17. RESPECT & COMMUNITY
17.1 Please treat the sauna, the natural environment, and fellow guests with respect.
17.2 Tarn Saunas reserves the right to refuse service if these guidelines are not followed.
Health & Safety
TARN SAUNAS LTD – HEALTH & SAFETY POLICY
1. INTRODUCTION
At Tarn Saunas Ltd, your safety and wellbeing are our top priority.
Our saunas are designed to offer a relaxing and restorative experience in a natural setting, but it's important that all users follow the safety guidelines below to ensure the experience remains safe for everyone.
This policy applies to both pop-up sessions and private hires. Please note:

Pop-up Sessions: Tarn Saunas staff will be present on-site to manage the stove and supervise use.
-
Private Hires: The hirer is responsible for supervision of all users unless Tarn Saunas staff supervision has been separately arranged and paid for in advance.
If you are booking on behalf of a group, you are responsible for ensuring that all participants have read, understood, and follow these guidelines.
2. GENERAL SAUNA SAFETY
2.1 The sauna should only be used in accordance with the instructions provided by Tarn Saunas Ltd.
2.2 Never use the sauna under the influence of alcohol, drugs, or strong medication that may impair judgement or increase risk of dehydration or overheating.
2.3 Maximum recommended sauna time is 10–15 minutes per session, followed by a cool-down period. Repeat as desired, but avoid staying in the sauna for prolonged periods.
2.4 Always hydrate well before, during, and after your sauna session. Avoid caffeinated or alcoholic beverages, which can increase dehydration.
2.5 Children aged under 16 must be supervised at all times. We recommend limiting use to 5–10 minutes for younger users.
2.6 Always use a towel to sit on to protect the benches from moisture and maintain hygiene.
2.7 Do not bring glass, food, or any electronic devices into the sauna.
3. WOOD-FIRED STOVE SAFETY
3.1 Pop-up Sessions: Only Tarn Saunas Ltd staff should light and maintain the wood-fired stove.
Private Hires: Only Tarn Saunas Ltd staff or an instructed responsible adult should light and maintain the wood-fired stove. If no Tarn Saunas staff are present, the responsible adult must have been fully briefed by our operator on safe stove management before use begins.
3.2 Never use accelerants such as lighter fluid, petrol, or aerosols. Only kiln-dried firewood supplied or approved by Tarn Saunas Ltd should be used.
3.3 The stove, chimney, and metal surfaces become extremely hot during use — do not touch these parts at any time.
3.4 Keep flammable materials (towels, clothing, paper, etc.) away from the stove.
3.5 Ensure the sauna door remains easily accessible and never obstruct the exit.
3.6 Only water should be poured over the stove stones, and only in small amounts. Do not use essential oils directly on the stones — they can cause flare-ups and damage the heater.
3.7 Do not leave the stove unattended when lit.
3.8 Allow the stove to cool completely before attempting to clean or remove ash.
4. PRE- AND POST-SAUNA GUIDELINES
4.1 Before Sauna Use:
-
Drink water and avoid heavy meals within one hour of your session.
-
Remove all metal jewellery (rings, necklaces, watches) — they can become hot and cause burns.
-
Shower or rinse off before entering to remove oils, lotions, or sweat.
4.2 During Sauna Use:
-
Sit or lie on a towel to maintain hygiene and comfort.
-
Listen to your body — leave the sauna immediately if you feel dizzy, light-headed, or unwell.
-
Avoid sudden movement when exiting, as blood pressure can drop after heat exposure.
4.3 After Sauna Use:
-
Cool down gradually — shower, step outside, or take a short dip if appropriate and safe.
-
Rehydrate with water or an electrolyte drink.
-
Rest for at least 10–15 minutes before repeating the session or resuming strenuous activity.
5. HEALTH CONDITIONS AND RESTRICTIONS
Sauna use is generally safe for healthy adults, but certain medical conditions may make it unsuitable.
Please consult your GP before using the sauna if you:

Are pregnant or trying to conceive
-
Have heart disease, high or low blood pressure
-
Suffer from respiratory conditions such as asthma or COPD
-
Have diabetes or circulation problems
-
Have recently undergone surgery
-
Are taking prescription medication that affects heart rate, blood pressure, or body temperature
Do not use the sauna if you:

Feel unwell, feverish, or have flu-like symptoms
-
Have consumed alcohol or recreational drugs within the past 24 hours
-
Are suffering from skin infections or open wounds
If in doubt, always err on the side of caution and seek medical advice before use.
6. EMERGENCY PROCEDURES
6.1 If anyone feels unwell, faint, or experiences chest pain, exit the sauna immediately and move to a cool, shaded area.
6.2 Call emergency services (999) if symptoms persist or if there is any concern for someone's health.
6.3 Inform Tarn Saunas Ltd immediately of any incidents or injuries.
7. RESPONSIBILITIES
7.1 Tarn Saunas Ltd maintains £5 million public liability insurance and comprehensive business insurance covering delivery, setup, and equipment integrity.
7.2 For Pop-up Sessions: Tarn Saunas staff are responsible for stove management, supervision of use, and monitoring user wellbeing during the session.
7.3 For Private Hires: Once the sauna has been handed over, the hirer accepts responsibility for safe operation, supervision of all users, and the wellbeing of all participants. If Tarn Saunas staff have been arranged to supervise, they remain responsible during that period.
7.4 All users are responsible for following these safety instructions.
7.5 Failure to follow these guidelines may result in damage charges or loss of deposit.
8. AGREEMENT
By using the sauna, you acknowledge that you have read, understood, and agree to abide by the Tarn Saunas Ltd Health & Safety Policy and accept responsibility for your own health and wellbeing during sauna use.
Liability Disclamer
TARN SAUNAS LTD – LIABILITY DISCLAIMER
1. INTRODUCTION
At Tarn Saunas Ltd, we take great care to ensure all equipment is safe, well-maintained, and operated according to strict safety standards. However, sauna use involves exposure to high temperatures and carries certain inherent risks.
By participating in any sauna session provided by Tarn Saunas Ltd, whether as a pop-up session or private hire, you acknowledge and accept full responsibility for your own health, wellbeing, and conduct during use.
Important distinction:

2. ASSUMPTION OF RISK
2.1 You understand that sauna bathing involves exposure to intense heat, which can increase heart rate, cause dehydration, and affect blood pressure.
2.2 You voluntarily choose to use the sauna at your own risk and accept full responsibility for any injury, illness, or discomfort that may result from participation.
2.3 You acknowledge that Tarn Saunas Ltd cannot guarantee that all risks have been eliminated and that personal health conditions or actions outside our control may contribute to injury or illness.
2.4 You agree that you will not use the sauna if you are under the influence of alcohol, drugs, or medication that may impair your judgment, balance, or heat tolerance.
3. MEDICAL RESPONSIBILITY
3.1 You confirm that you are in good physical condition and have no known medical reason that prevents you from safely using a sauna.
3.2 You agree to consult a qualified medical professional before sauna use if you have any of the following (but not limited to) conditions:

Cardiovascular disease, high or low blood pressure

Respiratory illness (e.g., asthma, COPD)
-
Diabetes or circulatory issues
-
Skin conditions or infections
-
Pregnancy or postnatal recovery
-
Any illness, injury, or condition affected by heat or dehydration
3.3 You understand that Tarn Saunas Ltd staff are not medical professionals, and any guidance offered is for general information only and not medical advice.
4. RELEASE OF LIABILITY
4.1 By signing or agreeing to this disclaimer, you release Tarn Saunas Ltd, its owners, staff, and affiliates from any and all liability, claims, or causes of action arising out of or related to:

Injury, illness, or death resulting from sauna use

Property loss or damage during a sauna session

Misuse, negligence, or failure to follow safety instructions by you or your group
4.2 This release applies to all known and unknown risks, including those caused by the ordinary negligence of Tarn Saunas Ltd or its representatives.
4.3 You understand that nothing in this disclaimer limits or excludes liability for death or personal injury caused by Tarn Saunas Ltd's negligence, fraud, or any matter which cannot be lawfully excluded under UK law.
5. SUPERVISION AND USE
5.1 The sauna must not be used by anyone under 16 years of age without adult supervision.
5.2 The sauna and its wood-fired stove must be used only as instructed in the Health & Safety Policy provided by Tarn Saunas Ltd.
5.3 You agree not to alter, move, or misuse the sauna or its equipment in any way.
5.4 For Pop-up Sessions: Tarn Saunas staff are responsible for supervision and monitoring user safety at all times.
For Private Hires: You (the hirer) are responsible for supervision of all users and monitoring their safety at all times, unless Tarn Saunas staff have been separately arranged. If no Tarn Saunas staff are present, you must ensure all users follow safety instructions and monitor for signs of distress or overheating.
5.5 Tarn Saunas Ltd is not responsible for accidents or injuries resulting from improper or unsupervised use of the sauna, including:

Overheating
-
Burns from stove or chimney surfaces
-
Slips or falls due to wet surfaces
-
Fainting, dizziness, or dehydration
6. PROPERTY DAMAGE
6.1 You are responsible for any damage to the sauna, stove, accessories, or surrounding property that occurs during your hire period as a result of negligence, misuse, or failure to follow instructions.
6.2 Tarn Saunas Ltd reserves the right to retain all or part of the damage deposit (£50 per day) to cover repair or replacement costs.
6.3 Tarn Saunas Ltd will not be liable for incidental or consequential damages, including but not limited to loss of enjoyment, inconvenience, or business interruption.
7. INSURANCE AND LIABILITY COVERAGE
7.1 Tarn Saunas Ltd holds £5 million public liability insurance and comprehensive business insurance covering equipment, setup, and delivery.
7.2 This insurance covers incidents that occur as a direct result of Tarn Saunas Ltd's negligence or failure to maintain equipment in a safe condition.
7.3 For Pop-up Sessions: Tarn Saunas Ltd staff remain responsible for safe stove operation and supervision throughout the session.
For Private Hires: Once the sauna is installed and handed over, responsibility for safe use and supervision transfers to the hirer or responsible adult on site. If Tarn Saunas staff have been arranged to supervise, they remain responsible during that period.
8. AGREEMENT AND ACKNOWLEDGEMENT
By confirming your booking online or signing the private hire documents, you acknowledge that:

You voluntarily accept all associated risks of sauna use

You release Tarn Saunas Ltd from all claims and liability to the fullest extent permitted by law

You agree to follow all safety guidelines and instructions provided
